Executive Assistant

Salary: $58,000–$70,000 per year (commensurate with experience)
The Center for Improving Youth Justice (CIYJ) is seeking a highly organized and service-oriented Executive Assistant to provide high-level administrative support to the Executive Director & CEO while serving as a frontline resource for national data collection and Performance-based Standards (PbS) Help Desk operations. This hybrid role combines executive support, data quality assurance, participant-facing customer service, and communications, making it ideal for someone who excels at managing multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage the CEO’s calendar, scheduling, travel arrangements, and executive correspondence.
- Coordinate board meetings, committee meetings, and executive-level events, including agendas and meeting minutes.
- Support day-to-day office operations, supplies, and vendor coordination.
- Assist with national data collection activities by tracking deadlines and reviewing submitted data for accuracy and completeness.
- Manage Android devices used for survey data collection, including configuration, inventory, and troubleshooting.
- Perform data quality checks to identify inconsistencies, missing information, and outliers, while coordinating corrections with participating facilities.
- Respond to PbS Help Desk calls and emails, providing technical assistance and participant support.
- Guide users to appropriate documentation, identify opportunities to improve support resources, and escalate complex issues when needed.
- Deliver professional, responsive customer service while supporting CIYJ’s relationship-focused approach.
Qualifications
A bachelor’s degree is preferred, or an equivalent combination of education and relevant experience. Candidates should have at least two years of experience in executive support, administrative, or customer service roles, with nonprofit or human services experience considered a plus. Strong organizational and written communication skills, proficiency with Microsoft Excel or similar data management tools, and the ability to troubleshoot basic technology issues are essential. The ideal candidate is adaptable, detail-oriented, and committed to providing exceptional service.
